An AI agent for Microsoft Teams meetings, no Copilot license needed
How to bring a Mainroom AI agent into a Microsoft Teams meeting: invite it by email, admit it from the lobby, turn on live captions, and what it does once it is in.
A Mainroom agent joins a Microsoft Teams meeting as a guest participant with a camera tile and a voice. It does not need a Microsoft 365 Copilot license, and it works the same way it does on Zoom and Google Meet.
Invite it
Add the agent's address to the Outlook or Teams meeting invite, or forward the invite to it. For a recurring meeting, invite it to the series once. It joins at the start time.
Admit it
The agent waits in the lobby like any external guest; the organizer or a presenter admits it. If your organization does not allow guests to join meetings, an admin needs to allow them for the agent to get in.
Turn on live captions
Turn on live captions in the meeting. Captions are how the agent knows who is speaking by name.
Let it present
To use slides, the whiteboard, images or a live demo, the agent needs to be allowed to share its screen (presenter permissions, depending on your meeting options).
What it can do in Teams
Answer questions out loud, put slides and tables on the screen, teach on a whiteboard, run a live browser demo, look things up in your connected tools, open an anonymous intake for the room, coach you privately on a companion page, and send a recap with decisions and owners.
Frequently asked questions
Do I need to install anything in Microsoft Teams?
No. The agent joins as a regular participant from a calendar invite. There is no app, plugin or admin install.
Can everyone see the agent?
Yes. It appears in the participant list with its own name and camera tile, and the platform shows its standard notice. It never joins silently.
How do I remove it?
Tell it to leave and it says goodbye and leaves, or remove it from the call like any participant, or take its address off the invite.
